Bookings, Cancellations and Rescheduling: 

  • We operate a 12 hour notice reschedule/cancellation policy. If you are unable to attend your appointment or wish to reschedule, you must contact Calm Team directly by phone or email at least 12 hours prior to your appointment time.

  • Cancellations made within 12 hours but before 1 hour of the appointment will be charged 50% of the service price.

  • Fail to give us 1-hours notice prior to the appointment start time or NO SHOW and you will be required to pay 100% of your booked service cost.

  • if you are late for your appointment then please note that due to time restrictions we may not be able to accommodate the entire duration of your massage. you will be required to pay the original service price. 

  • If you want to change the service you receive to a service of lesser value than the original booking and do this within 12 hours of your service time, you will be required to pay the original service price.

  • If a therapist is unable to or not available to carry out your treatments through circumstances beyond our control, we reserve the right to transfer the booking to an alternative therapist. In exceptional circumstances, we may need to cancel/reschedule your booking. In the event that we cannot fulfil your appointment, we will attempt to contact you by telephone as soon as possible.

    Client Responsibility for Booking Accuracy:

    Please ensure that all appointment details (date, time, and service) are correct at the time of booking. A confirmation email is sent immediately after each booking is made. It is the client’s responsibility to review and verify the accuracy of their booking.

    Calm Massage & Spa is not responsible for errors made by clients when selecting their appointment date or time. Failure to attend an appointment due to an incorrect booking that was confirmed via email will be treated as a no-show, and 100% of the service fee will apply, as per our cancellation policy.

    We strongly encourage all clients to double-check their confirmation email and contact us immediately if any changes are needed.

    Respectful Atmosphere:

  • We believe in maintaining a respectful and positive atmosphere for both clients and staff.

  • Rude or inappropriate behaviour towards our staff may result in the refusal of service.

    Pricing Notice:

  • We reserve the right to change our service prices, terms and conditions without notice.

Arriving for your treatment:

  • Out of consideration for other clients, if you are more than 10 minutes late for an appointment, your services will be reduced or cancel.

  • In an effort to maintain a calm, peaceful environment for all our clients, we kindly request that all mobile phones are switched off or silenced during your visit to our salon.

Gift Vouchers:

  • Gift Vouchers must be redeemed within 3 years of the date of issue.

  • Gift vouchers are non-refundable and cannot be exchanged for cash.

  • Gift vouchers purchased online will be received as electronic downloads.

  • Gift vouchers can only be redeemed once.

  • Gift vouchers cannot be used in conjunction with massage products offers or promotions.

  • Electronic gift vouchers showing a valid voucher code can be redeemed as a printed voucher or shown on a mobile device.

Health questions are asked in many of our consultation forms to deal with treatment queries and to potentially highlight treatments or products that may have a negative effect on your health due to medication you are taking or a health condition you have. Your privacy is very important to us and we only use this information for determining your suitability for the treatment and to provide a safe service.

We put extra safeguards in place to protect special category data to protect it from unauthorised disclosure, unauthorised modification or unauthorised access. We only collect this information from you based on your explicit consent.

In the event that you want to purchase a product or service from us, certain personal information may be required. You can always choose not to provide personal information. However, we may be unable to provide some/all products, services and treatments in these instances.

Safeguarding your Personal Data

Appropriate measures are taken to protect your personal data from access from unauthorized persons or inappropriate access, internal or external. Your connection to the online salon platform uses a secure connection. All information passed to the salon software is encrypted during data input and transfer to the cloud.

Any paper files recording your personal data are held in a locked filing cabinet or safe which can only be accessed by authorised personnel in the salon. Employees are only assigned specific access rights and can only access the salon software with the PIN number assigned to them by the management of the salon.
